We may use publicly available professional information, such as your name, business role, company, country and published business contact details, to assess whether Improve First is relevant to your work and to send a limited business introduction where applicable marketing rules permit it. Sources may include your company website, public professional profiles and professional directories. We record the source and date, relevant contact history and your preferences. We do not treat publication of an address as blanket permission to send marketing.

Where permitted, we rely on legitimate interests in introducing a relevant business tool, after considering necessity, reasonable expectations and safeguards. Where consent is required, we need an applicable consent basis before sending. You can object to direct marketing at any time by replying to an introduction or emailing team@improvefirst.com. We will stop further marketing to you and keep only the information necessary to respect that choice. We do not require an account or payment to opt out.

We retain professional-introduction records only as long as needed to assess relevance, manage appropriate contact and respect your preferences. We review relevance and contact status and remove information that is no longer needed, except for minimal suppression records needed to prevent unwanted contact. You can contact us about access, correction, deletion or objection using the details in this notice.

The calculator is designed to work with practical estimates. Users should avoid entering confidential customer names, patient data, employee disciplinary information, bank details, passwords, secret keys, or other sensitive information into process names, step names, notes or feedback fields.

Saved process models may include business process data that you enter. You are responsible for making sure you have the right to upload or store that information.

We also keep daily aggregate counts of successful public-page requests to understand service usage, including when analytics is declined. These counts contain no IP addresses, cookies, account IDs, full browser strings or calculator inputs. Known automated requests are counted separately; request totals are not unique visitor counts.

If you allow analytics, Improve First uses Google Analytics to measure visits to public pages and broad calculator actions. Google receives browser/device information and analytics identifiers. We do not send calculator inputs, client details, account identities, private report links or URL query parameters. Advertising signals and personalisation are disabled. Rejecting or withdrawing analytics consent stops this tracking. You can change your choice in Cookie preferences.

Strictly necessary storage is used for login, security and the service to work. Non-essential analytics only run after you choose to allow them. You can change your choice from the Cookie Policy.

If you allow analytics, an anonymous journey identifier records whether a real or anonymised workflow and improvement were tested, your optional decision-clarity and repeat-use answers, and visits to paid plans or checkout. This tracking does not include workflow names, model inputs or client details. The browser record expires after 90 days and is removed when you withdraw consent. Browser activity is not evidence of a successful payment.

We use carefully selected service providers to run Improve First, including website hosting, database hosting, email delivery, payment processing, GitHub deployment and security tooling. Stripe processes card payments and payment details are handled by Stripe rather than stored by Improve First.

We may disclose information where required by law, to protect rights and safety, or as part of a business transfer affecting Improve First.

Some providers may process data outside the UK. Where that happens, we expect appropriate safeguards such as adequacy regulations, standard contractual clauses, or equivalent protections to be used.

Improve First may use automated calculations, rule-based summaries and product-support tooling. These outputs are decision support only. Do not enter sensitive personal data into optional notes or feedback.

Improve First is intended for business and professional use. It is not directed at children under 16, and children should not create accounts or submit personal data.

We use practical security measures including encrypted HTTPS traffic, password hashing, environment-based secrets, access controls, database permissions, dependency scanning and production monitoring. No online service can be guaranteed completely secure.

Depending on your location and circumstances, you may have rights to access, correct, delete, restrict or object to the use of your data, and to withdraw consent for analytics. Contact team@improvefirst.com to make a request.

In the UK, you also have the right to complain to the Information Commissioner's Office if you are unhappy with how your data is handled.
